At Payroll Pal, protecting your privacy is part of how we do business. We collect only the information we need to run payroll accurately, securely, and in compliance with Canadian law—and we treat that information with care.
What We Collect
We collect basic personal and business information needed to provide payroll services, including contact details, employee payroll information (earnings, deductions, vacation balances), government-required tax information, and banking or payment details. Employees can view their own payslips and tax documents through the Payroll Pal employee portal.
How We Use Your Information
We use your information only to process payroll and payments, calculate earnings and deductions, file required government forms such as T4s and ROEs, meet legal and tax requirements, provide customer support, and keep our systems secure. We do not sell or share personal information for marketing or commercial purposes.
Your Consent
By using Payroll Pal and providing your information, you consent to its use for payroll-related purposes. You may withdraw consent in writing, though doing so may limit our ability to provide payroll services where information is legally required.
How We Protect Your Information
We use strong security measures, including encryption, access controls, and regular staff training. Any trusted third-party partners are required to meet appropriate privacy and security standards.
How Long We Keep Information
Payroll records are generally retained for seven (7) years to meet legal requirements, after which they are securely deleted or anonymized. Earlier deletion may be requested where legally permitted.
Access and Corrections
You may request access to your personal information or ask for corrections by contacting us in writing.
